This notice supplements the Privacy Policy and applies where Influence processes personal data on behalf of a client in the course of an engagement. In that capacity Influence generally acts as a Data Processor, processing personal data on the client's documented instructions.
Typically the client's nominated personnel and their contact details. Personal data contained in materials the client shares for the purposes of the work. Contact details of journalists, editors, event organisers, talent representatives and other third parties engaged on the client's behalf. Personal data appearing in monitoring, coverage and analytics reports.
We process personal data only on the client's documented instructions and for the purposes of the engagement. We ensure that personnel with access are bound by confidentiality. We apply reasonable security safeguards appropriate to the risk. We do not engage a sub-processor without informing the client. We assist the client in responding to requests from individuals exercising their rights. We notify the client without undue delay on becoming aware of a personal data breach. On termination we return or delete personal data at the client's election, except where retention is required by law.
The client confirms that it has a lawful basis for the personal data it shares with us and that any notice or consent required has been given or obtained. The client will not share special category or sensitive personal data with us unless it is necessary for the engagement and we have been told in advance.
Where an engagement involves approaching talent, media or event organisers, Influence processes their professional contact details for the purpose of that approach. Approaches are made in a professional capacity, identify Influence and the client where appropriate, and stop on request.
All client information is treated as confidential. Influence does not disclose client identity, engagement scope or results without written permission. Where a client permits identification, the specific wording is agreed in advance.
Influence maintains a conflicts register and will disclose a material conflict before accepting an engagement. Where a conflict emerges during an engagement, it is disclosed promptly and managed by agreement or by declining the conflicting mandate.
Engagement records are retained for eight years after the engagement ends, or such longer period as law or a pending claim requires.
